Duties and Responsibilities:

  • Assist sales team as required in preparation of quotations including quotation letters, pricing, delivery and assembly of components required for quotation submission.
  • Interfaces with customers by phone, email and fax to address customer concerns and questions. Involves sales as appropriate to address customer issues.
  • Transfer quotations into business system and enter on appropriate manufacturing / assembly facility.
  • Ensure timely delivery of product documentation and shipment of backlog.Β 
  • Monitor shipment schedules, provides schedule updates to customer, and expedites production as required.
  • Ensure all order related documentation is submitted in a timely manner using established procedures.
  • Collaborate with Inside Sales when entering change orders.
  • Assist Inside Sales with invoicing and associated documentation.
  • Responsible for reviewing and monitoring commission reconciliation.
  • Monitor past due payables and work with Sales Team and accounting to meet corporate goals for collections.
  • Responsible for portal order confirmations and ship confirmations as required
  • Assist Sales Team with copying, filing, typing, collections and general administration activities.
  • Responsible for providing suggestions to improve work process, including reduction in non-conformance, increased efficiency, profitability, hit-rate and customer satisfaction.
  • Develop and maintain awareness of all products and services provided by Puffer-Sweiven.Β 
  • Answer phone calls from customers and forward to the appropriate account representative

    QUALIFICATIONS:

    Education/Knowledge:

    • Associates required, bachelor's preferred.Β 
    • Knowledge of office administrative procedures use and operation of standard office equipment.

    Experience/Skills:

    • 2+ years office administrative experience.
    • Strong knowledge of various computer software applications including MS Office, business system and principal provided sizing programs.
