POSITION SUMMARY OVERVIEW 

 

The Volunteer Coordinator serves as the primary liaison between HAWC and our volunteer community, playing a vital role in advancing our mission to provide support and services to survivors of domestic and sexual violence. This position is responsible for creating and managing the complete volunteer management lifecycle—from initial outreach and recruitment through onboarding, engagement, retention, and recognition. The Volunteer Coordinator works collaboratively across departments to identify volunteer needs, create meaningful opportunities for community involvement, and build strategic partnerships that strengthen both our volunteer base and fundraising capacity.

 

 

Work Schedule:

Monday – Friday

9 am – 6 pm or 8 am – 5 pm

 

Local Travel: 10% of time traveling in Harris County

 

Tasks

  • Manage volunteer communications. Serve as primary contact for volunteer@hawc.org, responding to inquiries, applications, and maintaining regular communication channels with current and prospective volunteers.
  • Recruit and match volunteers. Identify organizational volunteer needs, create engaging opportunities, and recruit, screen, and place volunteers in positions that align with their skills and HAWC's mission.
  • Coordinate volunteer onboarding and training. Build volunteer guidelines, manage background checks, screening processes, orientation, and comprehensive training programs to ensure volunteers are prepared and aligned with HAWC's values.
  • Maintain volunteer records and systems. Track volunteer hours, activities, and engagement using volunteer management software to meet compliance and reporting requirements.
  • Build and retain volunteer relationships. Conduct regular check-ins with volunteers, provide ongoing support and professional development, and work with established groups to ensure satisfaction and long-term retention.
  • Develop corporate volunteer partnerships. Engage the corporate community by creating and promoting corporate volunteer opportunities and strengthening partnerships that bridge volunteer engagement and philanthropy.
  • Collaborate with Advancement Team. Track and leverage volunteer and corporate engagement efforts for fundraising impact and special events and motivate volunteers to support fundraising initiatives.
  • Organize facility tours. Coordinate tours for the Advancement and Public Strategies Team to showcase HAWC's programs and impact to prospective donors, partners, and stakeholders.
  • Assess and improve volunteer programs. Evaluate program effectiveness using data and feedback, develop policies and resource materials, and implement best practices to strengthen volunteer experiences.
  • Represent HAWC in the community. Attend community events, volunteer fairs, and professional development opportunities to promote volunteer engagement, build partnerships, and develop recognition initiatives.
  • Other duties/projects may be assigned


Qualifications

QUALIFICATIONS

Education:

Bachelor's degree in nonprofit management, human services, social work, communications, business administration, or related field; or equivalent combination of education and experience.

 Experience:

 

  • Minimum 2-3 years of experience in volunteer coordination, program management, community engagement, or related field.
  • Demonstrated passion for domestic violence prevention and commitment to empowering survivors
  • Excellent interpersonal and communication skills with the ability to build relationships with diverse stakeholders, including volunteers, staff, corporate partners, and community members.
  • Strong organizational and project management skills with proven ability to manage multiple priorities, deadlines, and stakeholders simultaneously.
  • Flexibility to work occasional evenings and weekends for volunteer events, trainings, and special events.

Preferred

  • Knowledge of trauma-informed practices and survivor-centered approaches to service delivery.
  • Experience with corporate partnership development, employee volunteer programs, or corporate social responsibility initiatives.
  • Bilingual skills (Spanish/English)
  • Experience with event planning, coordination, and logistics management.

 Language: English, bilingual Spanish is not required but appreciated

 Computer Skills: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams). Familiarity or ability to learn volunteer   and donor management platforms such as Rosterfy, Raiser’s Edge, or similar systems.

 Certificates & Licenses: Texas driver’s license with a good driving record; reliable transportation; ability to travel to off-site locations utilizing personal transportation, if applicable

 Physical Demands: The ability to stand and walk around for extended periods of time is required.  Employees will also need to squat or bend, reach outward or upward to effectively discharge job duties.  Job incumbent must be able to lift/carry and/or push/pull up to 40 lbs.

 The primary work location for the incumbent in this position is at the agency's One Safe Place Houston campus.   NOTE: A certain number of assigned weekly hours will be virtual, with the amount varying based on current organizational operating hours and leadership direction.
