The Manager, Volunteer Services is responsible for developing, implementing, and maintaining all components of the Volunteer Services program that is within Catholic Charities, both on-site at agency facilities as well as at designated external locations. It is important that the incumbent demonstrate strong initiative and exercise good judgment due to the outreach and stewardship nature of this role. Duties include, providing pertinent information to individuals and groups about the Catholic Charities Volunteer Services program, providing guidance to prospective volunteers and interns about opportunities that contribute to Catholic Charities services, its staff and its clients.  Working with volunteer groups, coordinating multiple events including Share Your Blessings, timely file management, recruitment, screening and onboarding of volunteers and generating reports.

What you Deliver

  • Plans, directs, and evaluates Volunteer Services program activity in accordance with Catholic Charities goals and objectives.
  • Communicates regularly and effectively with volunteers by phone, mail, and email maintaining updated contact lists and is responsible for creating, curating, and distributing a regular newsletter to our volunteer community.
  • Implements and coordinates operational policies and procedures in accordance with Federal, State, Agency, Archdiocese, and grant funders and regulations.
  • Provides ongoing evaluation and coordination of agency utilization of the Volunteer Services program to determine effectiveness and impact of the program, and initiates and confers with Director, Purchasing and Support Services and if needed with departmental administration regarding appropriate changes.
  • Working with Director, Purchasing and Support Services, develops and implements strategic plan for recruiting efforts.
  • Oversees the volunteer onboarding process. Collaborates with Human Resources regarding background screening requirements.
  • Develops and implements any necessary formal training for volunteers.
  • Determines volunteer task parameters and designs position description for each volunteer assignment.
  • Serves as a liaison between program departments and diverse community organizations to foster engagement   and support for volunteer initiatives. Promotes department-wide objectives by cultivating relationships with external partners and maintaining active communication channels.  Manages and updates opportunity postings across community platforms to ensure visibility and accessibility for potential volunteers.
  • Assists the Director, Purchasing and Support Services in overseeing the Share Your Blessings Christmas drive, Back to School backpack drive and Coat drive by working with all agency programs, community members, and an external advisory team to provide gifts to agency clients and community members in need.
  • Coordinates national volunteer programs including AmeriCorps.
  • Directs and assists in maintaining the agency Volunteer Database to include the posting opportunities, maintenance of volunteer records and statistics regarding volunteers.
  • Create a variety of written materials, pamphlets, brochures, and statistical reports reflecting Volunteer Services.
  • Prepares and submits the Volunteer Services program budget and supervises the review of expenditures and maintenance of budgetary controls including the present and future needs for supplies and equipment.
  • Maintains and distributes, as necessary, records of donations received from the public.
  • Periodically consults with departmental personnel and conducts re-orientations to promote the efficient utilization of volunteers.
  • Stays abreast of trends and legislation relating to volunteerism; reassigns and counsels volunteers, if problems arise; prepares manuals, handbooks, and other written materials needed to operate the volunteer services program.
  • Provides guidance and supervision of Volunteer Services Coordinator (s).  Completes payroll, monitors performance, provides training and development.
  • Develops and manages the coordinator (s), Volunteer Services. Ensuring that the work aligns with Catholic Charities mission, vision, and values. 
  • Support other tasks and/or events hosted by Director, Purchasing and Support Service.

Qualifications

The Expertise We're Looking For

  • Bachelor’s Degree in Health and Human Services or related field
  • Two (2) years of experience managing volunteers
  • Valid Texas Driver’s License

  • Strong verbal and written communication skills.
  • Demonstrated skill with various software packages including Galaxy Digital or similar volunteer database, Excel, Word, and Power Point.
  • Must have strong presentation, verbal, and written skills.
  • Must demonstrate teamwork and collaboration through effective communication, flexibility, dependability, punctuality, and accountability of one's work within the department.
  • Ability to work effectively as a team member, willingly aiding other staff members.
  • In the team environment, must demonstrate tactfulness and humility.
  • Experience interviewing, assessing needs, and applying problem-solving skills.
  • Ability to use call center type equipment to answer and respond to incoming calls.
  • Ability to accurately enter information into a computerized system.
  • Ability to preserve and protect confidential information.
  • Ability to be flexible and adapt to changing workloads and priorities while maintaining standards of high quality and integrity.
  • Must apply creativity and take initiative as a problem solver as needed.
  • Must be able and willing to assist other staff in unexpected and/or emergency situations.
