The Volunteer Service Coordinator is responsible for coordinating the volunteer program for a specific area of the agency’s Harris County service area. It is important that the incumbent demonstrate strong initiative and exercise good judgment as a result of the outreach and stewardship nature of the role. This dual role involves coordinating volunteer activities, recruiting new volunteers, facilitating their onboarding, and ensuring a positive and impactful experience with Catholic Charities.

The Volunteer Service Coordinator duties for the Central Office will also be providing pertinent information to individuals and groups about the Catholic Charities Volunteer Services program, providing guidance to prospective volunteers about opportunities that contribute to Catholic Charities services, agency staff, and clients, working with volunteer groups and supporting Share Your Blessings and other events.

What you Deliver

  • Coordinate overall maintenance, accuracy, and quality of volunteer data in the volunteer portal, Galaxy Digital, including building and updating opportunities, scheduling shifts, entering group registrations, etc.

  • Draft and distribute monthly, quarterly, and annual volunteer engagement reports for programs as well as respond to data requests from leadership in a timely manner.

  • Onboard volunteers for food pantry locations as well as specific programs following Manager/Coordinator prospective volunteer and department communication, engagement and placement.

  • Serve as liaison for Guadalupe Basic Needs Center food distributions and pantry, including scheduling and servicing corporate and other group opportunities.

  • May conduct orientations for new volunteers, providing them with an understanding of the organization's mission, values, and policies. Coordinate training sessions to equip volunteers and interns with the necessary skills for their roles.

  • Maintain third-party volunteer sites, such as, Volunteer Houston, Astros Foundation, and AARP.

  • Maintain supply and promotional items inventories.

  • Support and participate in volunteer recognition activities.

  • Provide support for retention/engagement activities, as needed.

  • Monitor Volunteer Services email and direct them to appropriate persons.

  • Act as point of contact for in-kind ‘Host a Drive’ donations.

  • Participate in and support disaster response/recovery across the Archdiocese.

  • Provide support to Share Your Blessings Christmas campaign by working with assigned agency programs, community members, and an external advisory team to provide gifts to agency clients and community members in need.

  • Assist the manager in supporting departments and a wide variety of community groups to promote and cultivate interest in the volunteer programs and department-wide objectives.

  • Provide support for the Back-to-School Backpack Drive and Winter Coat Drive.

  • Supervise high school and college students in the absence of the Manager, Volunteer Services.

  • Assist with volunteer-related events, such as appreciation gatherings, workshops, and recognition ceremonies. Coordinate logistics for volunteer involvement in organizational events and projects.

  • Foster positive relationships with volunteers, interns, staff, and external stakeholders.

  • Travel to volunteer events and for outreach purposes. Support other tasks and/or events hosted by the agency.

  • Other administrative and coordinator duties as assigned.

Qualifications

The Expertise We're Looking For

  • High School Diploma or G.E.D.
  • One (1) year of experience in volunteer management or related field.
  • Valid Texas Driver’s License

  • Experience maintaining large databases and/or customer service management (CRM) systems.

  • Strong communication, interpersonal, and organizational skills.

  • Ability to work collaboratively with a diverse group of individuals.

  • Proficient in Microsoft Office and volunteer management software.

  • Networking skills.

  • Strong verbal and written communication skills; ability to read, write, and speak English fluently.

  • Must demonstrate teamwork and collaboration through effective communication, flexibility, dependability, punctuality, and accountability of one's work within the department.

  • In the team environment, must demonstrate tactfulness and humility.

  • Experience interviewing, assessing needs, and applying problem-solving skills.

  • Must be able and willing to assist other staff in unexpected and/or emergency situations.
