Job Summary
We are seeking a detail-oriented and highly organized Legal Assistant to join our Litigation team in our Galleria office. The ideal candidate will possess strong time management skills, exceptional attention to detail, and a thorough understanding of legal processes. This role requires proactive support for attorneys in managing case files, coordinating schedules, and ensuring the smooth handling of legal documentation and court filings.
Key Responsibilities
Calendaring and Scheduling
• Manage high-volume litigation calendars, including tracking court deadlines, responsive pleadings, discovery deadlines, trial settings and ensuring all pertinent deadlines are reflected on attorney calendars.
• Coordinate attorney appearances, including court calls and virtual hearings.
Document Preparation and Filing
• Draft and prepare insurance defense–specific pleadings and documents, including answers, affirmative defenses, discovery requests and responses, and initial disclosures.
• Assist with document production.
• Prepare and organize materials for dispositive motions, including motions for summary judgment.
• E-file pleadings in state and federal courts, ensuring compliance with jurisdictional rules and deadlines.
Case Management
• Maintain organized electronic and physical case files, including pleadings, correspondence, and claim-related documents.
• Track litigation deadlines, including statutes of limitation, discovery cutoffs, and mediation deadlines.
• Monitor case progression and proactively flag upcoming deadlines or case needs to attorneys.
Trial and Litigation Support
• Assist attorneys with preparation for trials, mediations, hearings, and depositions.
• Compile and organize exhibits, witness lists, summaries, and trial binders.
• Coordinate logistics for trial, including court filings, exhibit preparation, and scheduling of witnesses and experts.
Administrative Support
• Provide administrative support in a fast-paced litigation environment, including managing correspondence, answering phones, and coordinating meetings.
• Open, scan, and route incoming mail, including records and court notices and filings.
• Assist with expense reports, billing support, and time entry as needed.
• Oversee administration of expert and vendor invoicing, including coordinating with attorneys and third parties and ensuring timely processing.
Notary Services
• Notarize affidavits, authorizations, certifications and other litigation-related documents (or obtain notary certification upon hire).
Communication and Coordination
• Serve as a point of contact between attorneys, insurance adjusters, clients, vendors, experts, and opposing counsel.
• Facilitate clear, timely communication regarding case status and scheduling.
• Coordinate with carriers and adjusters to ensure reporting requirements and litigation updates are met.
