Position Summary

The Human Resources Assistant provides administrative and operational support to the HR department, ensuring smooth day-to-day functions, excellent customer service, and timely completion of employee-related tasks. This role assists with onboarding, employee record management, recruitment coordination, and general HR support to employees and leadership.

Key Responsibilities

Administrative Support

  • Maintain employee files, documents, and records in accordance with company policy and compliance standards.

  • Support HR leadership with scheduling, correspondence, and preparation of reports or presentations.

  • Assist with HR inbox management, routing questions to the appropriate HR staff.

Onboarding & Offboarding

  • Prepare new hire packets, collect required documents, and ensure all onboarding steps are completed.

  • Coordinate background checks, TB/physical appointments, and orientation schedules.

  • Assist with termination paperwork, exit interviews, and removal of system access when employees separate.

Recruitment Support

  • Post jobs on job boards, track candidates, and support recruiters with screening and interview scheduling.

  • Maintain applicant tracking updates and communicate with candidates as directed.

Employee Support

  • Serve as a point of contact for general HR questions, directing employees to resources or HR representatives.

  • Support employee events, trainings, and recognition programs.

Compliance & Data Entry

  • Ensure all employee documentation is complete, accurate, and compliant with regulatory requirements (e.g., I-9, medical records, certifications).

  • Enter and update data in HRIS systems, ensuring accuracy and confidentiality.

  • Assist with audits, reporting, and compliance tasks.

Qualifications

  • High school diploma required; associate’s or bachelor’s degree preferred.

  • Prior administrative or HR experience preferred, especially in healthcare or high-volume environments.

  • Strong organizational skills and attention to detail.

  • Excellent communication and customer service skills.

  • Ability to handle confidential information with professionalism.

  • Proficiency with Microsoft Office (Word, Excel, Outlook); experience with HRIS systems a plus.
