CONTRACTS ADMINISTRATOR

The Contracts Administrator ensures that all contractual obligations are executed accurately and efficiently, supporting the company’s operational integrity and long-term success. The Contract Administrator is assigned with the comprehensive oversight of contracts, including their review by the attorney, to ensure full compliance with organizational policies, regulatory requirements, and risk management standards. This position serves as a critical safeguard for the company by proactively mitigating potential liabilities, fostering collaboration with internal teams and external partners, and maintaining precise and organized documentation related to contracts, claims, and compliance activities. Your responsibilities will be:

  • Ensure organizational compliance across all contracts and related activities, proactively identifying potential risks and advising leadership on necessary changes or corrective actions.
  • Review, analyze, and evaluate client contracts with a strong focus on risk-related provisions, indemnity clauses, insurance requirements, and performance obligations to ensure the company’s interests are protected and contractual commitments are fully understood before execution.
  • Assess and document potential liability exposures by investigating claims, gathering relevant documentation, interviewing internal teams or third parties, and coordinating with insurers to support timely and accurate claim resolution.
  • Serve as the primary liaison between internal departments, external clients, insurance carriers, and regulatory agencies, ensuring clear and consistent communication regarding compliance obligations, contractual requirements, claims activity, and risk mitigation efforts.
  • Maintain comprehensive and organized records of contracts, amendments, certificates of insurance, internal approvals, claims activity, compliance reports, and risk assessments to support audits, legal reviews, and internal governance standards.
  • Contribute to the development and implementation of risk management policies and procedures, identifying areas for improvement and supporting cross-functional teams in adopting consistent practices that minimize organizational risk.
  • Prepare detailed reports, summaries, and presentations for senior leadership, including contract compliance updates, risk exposure analysis, claim trends, regulatory changes, and recommended mitigation strategies to support informed decision-making.
  • Collaborate with legal counsel or external advisors when necessary to clarify complex contractual terms, regulatory issues, or emerging risks that may impact the organization’s contractual obligations or strategic objectives.
  • Support continuous improvement initiatives by analyzing current contract administration processes, recommending enhancements, and helping implement systems or workflows that increase accuracy, efficiency, and compliance.

Qualifications

  • Bachelor’s degree in business administration, Legal Studies, Risk Management, or a related field required.
  • 3–5 years of experience in contract administration, risk management, compliance, or a similar role.
  • Experience working with insurance claims, liability cases, or regulatory compliance preferred.
  • Familiarity with contract law principles and risk assessment methodologies.
  • Strong understanding of contract language, legal terminology, and regulatory requirements.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and document management systems.
  • Ability to analyze and interpret complex documents and regulations.
  • Exceptional attention to detail and accuracy.
  • Strong analytical, critical thinking, and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities, meet deadlines, and work independently.
  • Strong interpersonal skills and the ability to collaborate effectively with cross-functional teams.
  • High level of professionalism, integrity, and discretion when handling sensitive information.

Physical demands:

The employee must regularly lift and move up to 10 pounds and occasionally lift and/or move up to 25 pounds. While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. The employee is occasionally required to stand; walk; reach with hands and arms and stoop, kneel, crouch, or crawl.
