Job Title: Assistant Property Manager

Job Scope and Mission
The Assistant Property Manager supports the Property Manager in overseeing the leasing, operations, and resident services of the community. This role ensures efficient property operations by assisting with rent collection, financial reporting, leasing support, and customer service, thereby contributing to the overall success of the community.
Essential Duties
Compliance, Safety, and Office Protocol
Complete all Francis Property Management compliance training.
Wear professional attire and a company-issued name tag while on duty.
Verify prospect and resident identification per company policies.
Communicate with team members if leaving the office for an extended period.
Follow PPE requirements and safety guidelines.
Report risks or hazards (e.g., lights out, trip hazards, exposed wires).
Customer Service
Build positive relationships with residents by addressing inquiries and concerns promptly.
Assist in organizing resident events and activities to promote engagement.
Support resident retention programs and initiatives.
Model professional, positive interactions with residents, vendors, and team members.
Financial Management
Assist with rent collections, monitor delinquencies, and follow up on outstanding balances.
Prepare final account statements for move-outs and assist with account closeout reporting.
Monitor financial metrics such as GPR and Aged Receivables.
Submit bad debt accounts and assist with bad debt reporting.
Support budgeting, expense tracking, and financial reporting.
Assist in following eviction procedures under the direction of the Property Manager.
Leasing and Marketing
Assist with property tours, rental applications, and lease agreements.
Respond to leasing inquiries via phone, email, chat, and in-person meetings.
Support marketing efforts through online listings, property website updates, and outreach.
Engage with local businesses and participate in marketing events to attract prospects.
Administrative Support
Maintain accurate leasing records, including applications, move-in/move-out documentation, and renewals.
Process applications, background checks, and lease signings.
Prepare leasing-related reports and assist with other administrative tasks.
Property Maintenance
Coordinate maintenance requests and communicate with residents and maintenance staff for timely resolution.
Conduct regular property inspections to identify maintenance needs and report findings to the Property Manager.
Physical Requirements
Ability to stand and walk for extended periods during property tours and inspections.
Occasional lifting and carrying of promotional materials, signage, or supplies.
Ability to climb stairs regularly during property tours and inspections.
Flexibility for bending and stooping when handling files, keys, or supplies.
Ability to drive a vehicle or golf cart for property-related duties.
Competencies
Education
High school diploma or equivalent required.
Licenses & Certifications
Valid driver’s license required.
Experience
2–3 years of experience in property management or related field, preferably multifamily.
Skills & Abilities
Strong customer service and communication skills.
Proficiency in property management software and Microsoft Office Suite.
Ability to work independently, prioritize tasks, and manage multiple responsibilities in a fast-paced environment.
