JOB TITLE: Specialist-Police Department
REPORTS TO: Police Telecommunication Manager

PRIMARY PURPOSE:
The position serves the School District, the Police Department and the assigned to provide clerical support to the Police Telecommunication Manager within the Police Department and responds to a variety of requests for information concerning police records.

QUALIFICATIONS:
Required
• High School Diploma or GED from an accredited institution
• 3 years’ job-related experience
Preferred
• 5 years’ job-related experience
• Prior experience with Facilities Management (FMX) software, Laserfiche software, Motorola-Watchguard Evidence Library 5 video storage and retrieval system, Automated Records Management System (ARMS) Computer-Aided Dispatch (CAD) and Records Management System (RMS), HELIOS/Coreforce government records system, CRIS/CRASH accident report system, and TCOLE Secure Share
• Knowledge of Texas State Library and Archives standards and records retention schedules

MAJOR RESPONSIBILITIES AND DUTIES:
• Responsible for answering the telephones and assisting the callers with locating information when needed.
• Provide administrative support to the Police Telecommunications Manager with daily clerical duties.
• Works closely with the Spring ISD Office of the General Counsel to oversee the process for Open Records and Public Records requests for reports including arrest, offense, and crash reports and release information and documents in accordance with the Public Information Act and other applicable laws and procedures.
• Processing offense and accident requests.
• Serves as notary for Police Department
• Responsible for collecting, organizing, and analyzing payroll documents and attendance sheets.
• Maintaining the annual Criminal Justice Information Systems (CJIS) Security Awareness Training.
• Responsible for assisting with preparing citations and complaint forms for court filing.
• Collecting department subpoenas and ensuring the assigned officers and division are notified.
• Collecting crime data at the direction of the Police Telecommunications Manager.
• Filing and organizing police department documents/records.
• Assisting with coverage for Police Department secretaries as needed.
• Compiling/inputting police department employee data as needed.
• Working in collaboration with the operations department on managing RS2
Access/Deactivation for all employees (resigned and active).
• Troubleshoot with the office supplies when needed (i.e., copier, fax machine etc...)
• Responsible for working with the operations department to ensure all officers have assigned keys to access to all Spring ISD facilities and keys are retrieved upon separation from the agency.
• Assists with monthly National Incident Based Reporting System (NIBRS) review
• Responsible for executing expungement of juvenile records and sending notices of destruction of evidence in accordance with lawful court orders
• Perform all other duties as assigned
WORKING CONDITIONS:
The usual and customary methods of performing this job require the following: ability to work in a fast-paced, high-intensity work environment efficiently and effectively with frequent interruptions and maintain emotional control under stress. Job may require prolonged periods of time sitting, reaching and repetitive hand motions; prolonged use of computer. Overtime is required as necessary.
