Position Summary:

The Susanne M. Glasscock School of Continuing Studies (GSCS) amplifies Rice University’s academic excellence and outreach through lifelong personal and professional offerings that empower individuals and organizations, foster community, and promote the common good in Houston and beyond.

The Senior Program Administrator serves in a critical role within School Literacy & Culture, a division of Rice University’s Center for Education. This role works with the Assistant and Associate Directors at School Literacy & Culture and will report to the Director of School Literacy & Culture to achieve the stated goals and objectives for the department. Responsibilities include administering essential functions such as operations, budget and financial management, support general ledger and accounting activities, ensure accurate classifications of expenses and revenues, manage events, outreach, and communications, student support, recruitment, and registration. The incumbent assists with fundraising activities and supports staff in building and managing relationships with internal and external entities.

This is a full-time, benefits-eligible position with some weekend and/or evening work as needed. Hybrid work schedule available after successful completion of probationary period.

Ideal Candidate Statement: 

The ideal candidate will have extensive skills and experience leading educational and office initiatives while monitoring and supporting teachers and leaders involved in School Literacy & Culture Programming. The ability to drive program initiatives in an organized and collaborative manner, and support department events and courses, is essential.

Workplace Requirements:

This position is offered as a hybrid role, combining both in-office and remote work to provide flexibility and support collaboration. The first six weeks will be in-office five days a week, followed by a 3 days in-office, 2-day remote schedule. Per Rice policy 440, work arrangements may be subject to change.

Proposed Hiring Range: $56,000-$59,000 annually

*Exempt (salaried) positions under FLSA are not eligible for overtime

Minimum Requirements: 

  • Bachelor’s Degree or equivalent
  • Two or more (2+) years of related experience in higher education or nonprofit organizations
    • In lieu of the experience requirement, additional related education or office experience, above and beyond what is required, on an equivalent year-for-year basis may be substituted
  • Skills: 

    • Ability to develop and initiate new strategies for recruitment, matriculation, and registration
    • Advanced problem-solving skills
    • Strong verbal and written communication skills
    • Ability to work well under pressure and manage projects simultaneously
    • Strong organizational, time management, and budget skills
    • Advanced knowledge of Microsoft Office suite, Canvas, Destiny, and iO
    • Ability to work independently and as part of a team to meet expected deadlines and schedules
    • Strong client service orientation and attention to detail
    • Ability to oversee and direct staff and student workers

Preferences:

  • Strong data analysis and financial management skills
  • Knowledge of managing budgets and developing financial plans
  • Adept at problem-solving, creating contingency plans, and handling issues when necessary

 

Essential Functions:

  • Administers program operations ensuring efficient, effective, and productive operations
  • Oversees registration for all SLC programs
  • Creates and implement plans to achieve program objectives and mission
  • Interprets, implements, and ensures compliance with policies and regulations and recommends changes to procedures and processes as needed
  • Supports budget plans, monitors and approves expenditures, develops reports, conducts analyses, and manages and maintains financial records
  • Under the guidance of the School Literacy & Culture Director, review each applicant’s progression and eventual completion of SLC programs
  • Work with Assistant and Associate Directors to plan and coordinate program events and classes
  • Coordinate Canvas course creation and oversee courses in collaboration with Assistant and Associate Directors
  • Provide SLC teachers, leaders, and mentors with all necessary information to successfully participate in various programs
  • Perform all other duties as assigned 

Additional Functions:

  • Schedule, advertise (in collaboration with the marketing team), and hold informational meetings for teachers preparing to apply for SLC programs
  • Work with applicants to complete their application to SLC programs, including information and data management and pre-requisite requirements
  • Work with Assistant and Associate Directors to annually update all handbooks and course materials associated with SLC programs
  • Recommend and coordinate the implementation of needed updates to the SLC web pages/community pages 
  • Maintain Destiny, iO, and systems and databases.
  • Serve as clerical support for SLC Director and Assistant and Associate Directors.
