WPP’s rental division runs on execution. This role is the backbone of rental operations, ensuring every quote, contract, invoice, and customer interaction is handled accurately and on time.


The Rental Administrator supports rental operations by handling administrative tasks, managing customer interactions, coordinating billing and logistics, and maintaining accurate data in Point of Rental. This role ensures smooth rental processes and provides excellent service to clients, contributing to overall efficiency and customer satisfaction. 


ESSENTIAL DUTIES


Administration

  • Coordinates and administers Rental data input into Point of Rental CRM (Accounts and Contacts) and provides 
  • updates and canned reports as needed, reconciles assets in customer files to CRM.
  • Supports the Division in regard to customer quoting, collections, credit approval and invoicing.
  • Creates and maintains rental equipment and customer folders including preparation, labeling and filing all 
  • information.
  • Direction: receives guidance with respect to general objectives; in most tasks and projects assigned, 
  • determines methods, works sequence, scheduling, and how to achieve objectives of assignments; operates 
  • within specific policy guidelines.
  • Supports the tracking of equipment condition and status in Point of Rental.
  • Processes daily business reports.
  • Provides back-up to the Rental Coordinator

Customer Service

  • Manages job files for each client, communicating regularly to provide updates and support.
  • Interacts with existing customers regarding billing issues, complaints, or general questions.
  • Maximizes sales revenue for the rental team through excellent customer service on existing orders.
  • Sends out rental alerts when necessary, regarding customer-related matters.

Financial/Accounting

  • Collaborates with the Accounting team regarding PO generation and bill coding, accounts receivable, accounts 
  • payable and other accounting matters

Safety

  • Reports all recognized unsafe conditions or acts to Management.
  • Wears proper PPE when necessary
Requirements

EDUCATION

  • High school diploma, GED, trade school or equivalent.

CERTIFICATIONS & LICENSES

  • No certifications or licenses needed for this position.

EXPERIENCE

  • 1–3 years of administrative experience 
  • Experience with invoicing, collections, or financial coordination strongly preferred
  • Customer service experience preferred
  • QuickBooks or Point of Rental system experience preferred

  • Comfortable working with numbers, reports, and financial data
  • Proficient in Microsoft Office
