Job Overview

We are seeking a highly skilled, self-motivated, detail-oriented, generalist Paralegal to provide essential support to our legal team and assist with various legal tasks to ensure the smooth operation of our legal department.  The ideal candidate will possess familiarity with contracts & agreements, legal documentation, litigation processes, legal procedures, and other legal processes, along with strong organizational and communication skills. Some familiarity in intellectual property docketing platforms and entity management is a plus. Strong project management, accuracy, timeliness, and the ability to maintain the highest standards of professionalism are critical to success in this role.

Primary Responsibilities

  • General Administration. Perform administrative tasks such as redlining, filing, uploading, and managing legal documents and correspondence. Assist legal team in preparing and facilitating legal documents for execution, including form agreements, cover letters, and other documents.
  • Department Vendor Management. Manage end-to-end vendor onboarding and support and oversee invoice processing, coding and tracking.
  • Entity Management. Under supervision from the Director of Legal Operations, assist in reporting obligations of all subsidiaries of Company (domestic and international) and preparing related form documents such as resolutions, powers of attorney, certificates of secretary, certificates of incumbency, review and index minutes of company, and annual meetings. 
  • IP Docketing. Update the legal department’s intellectual property docketing database, ensuring all data is accurate and up to date.
  • Litigation Support. Assist with recording and tracking SOPs, legal holds and updating the litigation table.
  • Maintain Legal Platforms. Maintain legal databases and electronic filing systems– coordinate, compile and produce monthly reports to track deadlines.
  • Process Optimization. Leverage advanced technology to find ways to streamline, automate and enhance operational efficiency. Assist in creating Powerforms and Webforms, leveraging DocuSign.
  • Project Support. Provide specified project support including due diligence, KYC requests, and drafting ancillary corporate documents for review by counsel.
  • Legal Research. Perform legal research, assist company personnel with information or other data from legal department and assist auditors, outside counsel and others as required with information from corporate and legal files and minute books.

Minimum Qualifications

  • At least 5-7 years’ experience as a paralegal or in a similar legal assistant or legal operations role within a law firm or corporate legal department.

Preferred Qualifications

  • Paralegal certification and/or bachelor’s or associate degree
  • Experience using entity management, IP docketing and CLM software applications, such as Athennian, Equinox Corporate, and Luminance.

Required Skills and Competencies

  • Strong understanding of legal terminology, procedures, and documentation practices.
  • Proficiency in using legal research tools such as Practical Law.
  • Excellent research, writing, presentation, and communication skills.
  • High level of proficiency with technology, including but not limited to Microsoft Windows, Word, Excel, PowerPoint, Outlook, Copilot, DocuSign (including Powerforms and Webforms), legal platforms, and tools leveraging AI.
  • Exceptional organizational skills with the ability to manage multiple tasks simultaneously while meeting deadlines.
  • Ability to work independently and as part of a team, take responsibility, take initiative, solve problems using sound judgment, and manage confidential and sensitive information.
