Purpose of the Role: The Marketing and Events Administrator exists to provide operational and administrative support to the Marketing and Events Department. By assisting with event preparation, marketing activities, and internal coordination, this role ensures the department functions efficiently and effectively.
Key Responsibilities:
1. Event Support
Prepare materials and coordinate logistics for internal and external events.
Assist with registration, communications, and on-site support as needed.
Maintain organized records of event details to ensure accurate documentation.
Support event-related marketing tasks such as invitations, signage coordination, and post-event follow-ups.
2. Marketing Assistance
Support creation, editing, and distribution of marketing materials (digital content, flyers, presentations).
Maintain marketing calendars, schedules, and deadlines.
Assist with social media posts, email campaigns, and other communications.
Track marketing requests and help prioritize tasks based on timelines and needs.
3. Administrative Support
Organize vendor and contact information for easy reference.
Track budgets, invoices, and other departmental documents.
Track marketing requests, priorities, and statuses to support workflow management.
Prepare reports, summaries, and support documentation as requested by the Marketing and Events Coordinator.
Manage and maintain cross-functional inventories for marketing materials, event supplies, and branded assets.
Oversee SharePoint organization, ensuring files, templates, and resources are up to date and easily accessible.
Support the development, documentation, and maintenance of Standard Operating Procedures (SOPs) related to marketing and event operations.
Collect, organize, and analyze data related to marketing campaigns and events to support reporting and continuous improvement.
Help gather information, photos, and input from internal teams for marketing use.
Organize and maintain marketing files, photos, videos, brand assets, and templates in SharePoint or designated systems.
4. Team Collaboration
Communicate updates and assist with internal departmental coordination.
Support meetings, projects, and initiatives by coordinating necessary materials. Support basic email marketing efforts including formatting, proofreading, scheduling, and list coordination.
