Responsibilities

Position Summary

 

The Dispatcher is responsible for coordinating the movement of materials, equipment, and attachments to and from job sites. This role ensures efficient scheduling, tracking, and documentation of equipment and transportation logistics while maintaining clear communication with drivers, job site personnel, and supervision teams.

 

Key Responsibilities:

 

Equipment & Material Coordination:

  • Review daily job schedules and organize equipment moves accordingly.
  • Track equipment and attachment locations using Samsara, ensuring timely input and communication of any updates or changes.
  • Create a weekly equipment utilization report through Samsara and send out to projects.

Transportation & Logistics Management:

  • Coordinate trucking operations.
  • Arrange all necessary transportation permits by consulting with drivers and ordering permits in line with scheduled moves and DOT compliance.
  • Manage drivers’ start times for efficiency and cost controls.
  • Verify and submit drivers’ time sheets to payroll.
  • Track and record the usage of trailers, tractors, and trucks ensuring billing accuracy.
  • Develop and distribute daily trucking schedules to project teams and supervision.

Communication & Coordination:

  • Serve as the primary point of contact for job sites and supervision regarding daily equipment needs, prioritizing requests as necessary.
  • Maintain communication with yard personnel to coordinate importing and exporting materials and loading procedures.
  • Maintain a yard inventory of materials and available equipment.
  • Establish strong working relationships with job supervisors and ensure proper equipment utilization.

Vendor & Administrative Support:

  • Schedule outside trucking and fuel service providers based on job requests.
  • Obtain required insurance documentation and prepare necessary billing paperwork.
  • Provide support to Shop operations as needed.

Qualifications

Qualifications & Skills:

  • Strong organizational skills with the ability to multi-task and prioritize workloads effectively.
  • Prior experience in a general contractor, construction equipment dealership, or rental company environment is preferred.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Familiarity with construction equipment and DOT compliance is a plus.

Reports To: Fleet Manager
Location: Houston, TX
Schedule: Monday through Friday 7am – 3:30 pm, available by phone as needed.
Start Date: Immediate
