Position Overview

We are seeking a highly organized, friendly, and technically savvy Assistant Property Manager (APM). We offer competitive pay and benefits for this exempt position. This position would work out of our Houston office.

The APM is responsible for addressing and resolving tenant issues and complaints, overseeing any necessary construction, and making recommendations to our Asset Management team.  An APM will make decisions with a clear understanding of company policies and procedures, as well as all applicable State and Federal regulatory/compliance requirements. areas of responsibility include answering tenant and vendor calls, dispatching tenant work order requests, assisting with preparation of monthly and quarterly management reports, preparing vendor contracts, processing invoices, and is accountable for achieving established business goals within expected timelines.

Job Responsibilities (include, but are not limited to the below):
 
Tenant and Vendor Relationships
  • Manage tenant and vendor relationships; serve as point of contact for vendors and tenants.
  • Addressing tenant inquiries and visiting tenants on an as-needed basis.
  • Managing preventative maintenance contracts for HVAC – per tenant leases through Ravti/Building Engines
  • Enter tenant service requests and track them through Facility Manager to ensure timely response and manage close out of each work order.
  • Keep tenant and vendor contact list updated.
  • Write and communicate vendor work schedules.
  • Complete tenant's move-ins and move-outs and completing and submitting any applicable documentation.
  • Show vacant spaces as needed.​​​​​​

Finances and Reporting
  • Manage, and own assigned properties financial duties including ensuring all invoices are independently reviewed, processed, and paid timely.  Diagnose and resolve any past-due invoices while collaborating with corporate resources to ensure any issues with payables are resolved.
  • Process and approve expenditures timely and accurately.
  • Direct the process of ensuring all rents are timely paid, posted, and updated in the Yardi system.  Diagnoses past-due tenants, while working to collect outstanding balances with tenants in arrears, applying negotiations such as payment plans.  Documents all efforts and results in applicable system. 
  • Assist with preparation of the annual budget. Collaborate with the property management team, corporate resources, and senior leadership to prepare, review, and execute the annual budget.
  • Collaborate with the property management team to reconcile, prepare, and execute monthly reports.
 
Compliance
  • Exercises judgment and discretion in reviewing vendor contracts collaborates with the property management team, and corporate resources to ensure all vendor contracts are within acceptable terms and conditions.   Execute contracts accordingly while ensuring all terms and conditions are duly executed.
  • Track and manage vendor Certificate of Insurances, ensuring full compliance with all vendor executed projects.
  • Ensure a safe work environment for tenants and vendors.
  • Review, execute, and process, legal tenant documents and lease-related correspondence from corporate templates, including lease documents and rent commencement agreements.
Miscellaneous
  • Perform miscellaneous job-related duties as assigned or required.

Essential Qualifications & Competencies
  • Bachelor’s degree from a four-year college or university in Business, Communications, or other related field; and 3+ years related experience and training; OR an equivalent combination of education and experience.
  • Microsoft Suite: Calendar, Outlook, Word, Excel, Teams, etc.
  • Ability to Identify and resolve problems in a timely manner; gather and analyze information skillfully; develop alternative solutions.
  • Demonstration of customer focus; establishes tenant service standards, while owning the tenant experience. 
  • Proven track record of accuracy and thoroughness; showcases that they look for ways to improve and promote quality; applies feedback to improve performance.
  • Effective written and oral communication skills
  • Experience with Yardi preferred but not essential.
  • Experience in Commercial Real Estate preferred.
