What can you expect?

As the Asset Administrator, you will work onsite in Houston, TX and will play a pivotal role in overseeing the organization's tangible assets, ensuring efficient management of vehicle allowances, field and office equipment, company-owned and leased machinery, fleet vehicles, and associated maintenance activities. You will ensure optimal asset utilization, compliance with company policies, and coordination of maintenance schedules to support operational excellence. Your personal initiative, an excellent attitude, and a desire to learn are essential to completing job duties.

How will you do it?

  • Work with Project Controls Manager to maintain rental equipment spreadsheet.
  • Maintain office files, equipment, and electronic folders ensuring organization and update as needed.
  • Work with management and equipment vendors to send field weekly PM sheets and update E360.
  • Work with field maintenance staff to get weekly equipment meter reads and enter into E360.
  • Ensure HCSS Dispatcher system is current and accurate.
  • Maintain vehicle registrations.
  • Ensure company vehicles have necessary toll tags and order new tags for fleet as needed.
  • Assist the administrative team with properly coding vehicle rental invoices by maintaining the tracking spreadsheet.
  • Assist the administrative team with properly coding equipment rental invoices.
  • Assist with adding and maintaining pictures of all equipment.
  • Ensure all rental equipment contracts are filed, and rental unit numbers are assigned and entered into Heavy Job, Dispatcher, and E360.
  • Assist with cleanup and updating the Equipment Weights and Dimension spreadsheet.
  • Assist with maintaining fuel tracking.
  • Serve as the primary point of contact for maintenance requests related to all assets.
  • Prioritize and schedule maintenance tasks, liaising with internal teams and external service providers.
  • Maintain records of maintenance activities, ensure timely completion and compliance with safety standards.
  • Ensure all asset-related activities comply with organizational policies and regulatory requirements.
  • Work in a constant state of alertness and in a safe manner.
  • Perform other duties as assigned.

Knowledge, Skills, & Abilities:

  • Strong working knowledge of administrative skills and ability to perform related tasks.
  • Ability to communicate professionally and effectively with employees, business partners, and clients via written and verbal communication.
  • Ability to perform basic math (add, subtract, multiply, divide, find ratios/percentages).
  • Ability to work independently and work cooperatively with others.
  • Ability to work with employees, business partners, and customers in a friendly and positive manner.
  • Knowledgeable with standard computer software, application programs, and e-mail.
  • Typing 40 wpm and 10-key by touch.
  • Ability to use judgment and discretion.
  • Ability to handle stressful situations and effectively plan and organize duties to meet deadlines.
  • Ability to handle multiple tasks simultaneously.
  • Ability to work with concentration, accuracy, and attention to detail.
  • Ability to analyze and resolve complex issues, both logical and interpersonal.
  • Ability to participate in and facilitate group meetings.
  • Work requires willingness to work a flexible schedule.
  • Ability to work in a Native Corporation multi-business environment.

Who is Brice Highway LLC looking for?

Minimum Qualifications:

  • High School Diploma or equivalent required.
  • No prior experience required; however, 1-year previous Office Administration experience preferred.
  • Ability to pass a drug and background screening.

Preferred Qualifications:

  • Previous experience with Construction and Heavy Equipment preferred. 
  • Basic knowledge of business computers and standard applications such as MS Office preferred.

Working Environment:

The work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The work environment is typically fast paced and detailed oriented. At times, work is performed outside of the office at indoor and outdoor job sites. Adaptability regarding schedule and design changes, and occasional overtime for immediate field support or bid processing may be necessary.
