POSITION OVERVIEW

The Administrator, Facilities and Office Administration will report to the Senior Coordinator, Facilities & Office Administration.  This individual must possess mature judgment and strong interpersonal skills.  This individual will be required to interact with a broad range of people, including employees, customers, and vendors, both individually and in groups. This individual must possess the ability to work independently and manage competing priorities.

 

KNOWLEDGE

The Administrator must possess a working knowledge of facilities management or office administration.  This individual must have knowledge of MS Office and other related software applications. 

 

RESPONSIBILITIES AND ESSENTIAL DUTIES

  • Coordinate space planning initiatives (updating floor plans, desk moves, restacks).
  • Coordinate, update and maintain desk location maps for all new employees, existing, employees/non-employees within Cheniere Connect after weekly moves/restacks.
  • Assist Facilities & Office Administration Manager on employee event plans and setup.
  • Help coordinate all parking garage and metro accounts assignments and costs.
  • Track and report on monthly expenses for Corporate Facilities P-Card.
  • Coordinate with Supplier Compliance to establish new vendors and managing purchase orders.
  • Reconcile vendor invoices for goods/services and initiate payment processing.
  • Track renewals and assist in process of renewing yearly City of Houston permits for assembly/gatherings, food dealers etc.
  • Track renewals and assist in process of renewing yearly USPS caller service and accounts payable PO Box.
  • Help facilitate first day onboarding Office Services portion of new hire orientation.
  • Order office/desk Name Plates for Multiple Cheniere Offices.
  • Help track and Coordinate Cheniere Fire Wardens for Fire Drills.
  • Coordinate/schedule any installs for furniture, displays, or vendor needs.
  • Coordinate offsite moves for large events/desk moves/furniture relocation.
  • Support day-to-day building operations.
  • After Hours On-Call.
  • Update calendar to reflect meeting setups.
  • Assist in finding and scheduling conference rooms as requested.
  • Submitting dock requests for vendors to building management.
  • Assist in ordering office supplies via Amazon, Costco, and Tejas Office.

QUALIFICATIONS (EDUCATION, EXPERIENCE AND SKILLS)

  • Education and Certifications:  High School Diploma or GED is required. CAP certification or similar administrative-related certification preferred. Associates degree or higher-level degree is a plus.
  • Experience: Minimum three (3) years of office administration related work experience is required.
  • Skills
    • Exceptional customer service.
    • Detail oriented with effective time management and organizational skills.
    • Possess excellent verbal and written communication skills.
    • Intermediate to advanced knowledge of MS Office (Word, Excel, Outlook), working knowledge of Adobe Illustrator, and the ability to learn new software and applications is preferred.

WORK CONDITIONS

  • Job is performed in a typical office environment, but is subject to time pressures and constraints, and is often dependent on input from others. 
  • Occasionally, work may be performed from home, after normal work hours or on weekends. 
  • May be required to work overtime.
